Job Description

Lucas Professional Search Group is recruiting for a Payroll & Benefits Administrator to join a growing company in Leamington, Ontario. This is a permanent opportunity with the room for advancement. Great pay and benefits!

The main responsibility for this role is to ensure that all associates are paid properly, that benefit claims are properly managed and that accurate associate records are kept current and confidential.  Receptive to the concerns and needs of associates and strives to resolve payroll issues in a professional and caring manner.


Additional responsibilities:

  • Receives, reviews, summarizes and enters payroll related information into HRIS: truck driver trip logs, safety shoe/boots payments, vacation pay requests, referral payments, VIP Points, Advances/repayments of advances, prox card replacement fees, Bereavement pay, gym fee reimbursements, retirement and severance pay, salary Attendance/Travel bonus, supper money reductions, periodic bonus payments for profit share, growers bonus and performance bonuses and any other information required to process payroll
  • Runs and reviews timecard approval reports and communication with HR of incomplete time cards
  • Runs Payroll: create Time data batch, calculate payroll, upload EFT to bank, print and file supporting documentation; notify HR when paystubs are ready to print/fold
  • Processes Records of Employments (ROE), uploads to CRA ROE Web, issues copy to Associates, and works with Service Canada on employment data queries.
  • Maintains advances spreadsheet and coordinates with HR
  • Runs negative payments report and coordinates with HR and accounting to resolve negative balances; receives benefit payments and remits to accounting
  • Runs reports for garnishments and supplies to HR and accounting for remittances
  • Sets up and maintains accurate and confidential payroll files and records
  • Processes and resolves payroll problems
  • Handles personnel/payroll inquiries
  • Assists in ensuring absent Associates continue to submit premiums as required
  • Enters and maintains pension information through Standard Life VIP portal
  • Prepares all Short-Term Disability paperwork with pay rates according to schedule and notify HR when STD is nearing expiration
  • Retrieves messages from voice mail and forwards to recipient
  • Pleasantly and promptly answers incoming telephone calls, determining purpose of callers, and forwards to correct team member or department 
  • Welcomes on-site visitors, determines nature of business, and announces visitors to appropriate team
  • Monitors visitor access and issue passes when required
  • Maintains fax machine, sends faxes, assist users, and retrieves and routes incoming faxes
  • Assists accounting, HR, payroll and other departments as assigned
  • Assists with associate inquiries in the absence of the HR team, passing information or documentation along
  • Provides data entry into databases as required
  • Orders office supplies using preferred vendors
  • As requested, arranges catering for in-house meetings with sensitivity to dietary concerns and budgets


  • A combination of professional experiences or equivalent combined education, designation and work experience will be considered;
  • Post-Secondary education in related topic and one-year payroll experience preferred, or equivalent work experience in payroll and benefits 
  • High emotional (EQ), cultural (CQ) and physical (PQ) intelligence
  • Demonstrable strong organizational skills and ability to prioritize with an aptitude to effectively handle competing deadlines under pressure
  • Attention to detail and accuracy, appropriately balanced with the need to complete tasks
  • Computer proficiency, above average analytical skills, and the ability to problem solve
  • Capable of independent and self-guided work and accepts and adapts to change
  • Excellent written, interpersonal communications skills and professional behaviours, specifically maintaining confidentiality and sensitive information
